PTA Events and Activities are organized and hosted by parents and caregivers just like you! Just like a family, we each take turns hosting and serving one another.
Thank you for your interest in volunteering with the Pinchbeck PTA! Below is a list of open board positions (filling these is a priority), as well as committees and events where we invite your support. Please let us know about your interest by completing this brief Google Form:
OPEN BOARD POSITIONS
*President-Elect: The President-Elect shall act as an aide to the President and perform all duties of the President in the absence or inability of that officer to act. The President-Elect will perform other delegated duties as assigned.
(President: The President’s duties shall be to preside at all meetings of the organization and the Executive Board and be a member ex officio of all committees except the Nominating Committee. The President shall coordinate the work of all PTA officers. The President will serve as a delegate to county, district and state meetings with expenses paid by the organization or appoint an alternate in his or her absence. The President shall sign all contracts with outside vendors working with the organization. The President must have a working knowledge of Robert’s Rules of Order)
*Vice-President of Ways and Means: The Second Vice-President of Ways and Means shall act as an aide to the President and perform all duties of the President in the absence or inability of that officer, the President-Elect, or the First Vice-President of Programs to act. The Vice President of Ways and Means shall chair a committee that plans and executes several fundraisers to benefit Pinchbeck. The Chair shall investigate and interview fundraising representatives in cooperation with goals set by the Executive Board. This Chair shall serve on the Budget Committee and be familiar with the financial needs of the organization, shall plan and implement all aspects of fundraising programs adopted by the membership, and shall be responsible for appointment of all committee members.
Treasurer-Elect: The Treasurer-Elect shall act as an aide to the Treasurer and perform all duties of the Treasurer in the absence or inability of that officer to act.
(The Treasurer shall have custody of all funds of the association, keep a full and accurate account of receipts and expenditures, and make disbursements as authorized by the President, Executive Board, or association in accordance with the budget adopted by the association. The Treasurer shall have checks or vouchers signed by two officers, preferably the Treasurer and President or President Elect. The Treasurer shall never sign or request anyone to sign a blank check from the PTA account. The Treasurer shall never write a check to cash. The Treasurer shall present a written financial statement at every meeting of the association and at other times when requested by the Executive Board. The Treasurer shall prepare, or have prepared, and file the yearly tax statement. The Treasurer shall provide a copy of the annual audit report prepared according to the association by-laws to a representative of Henrico County Public Schools. The Treasurer shall make available the monthly bank statements to a member at large of the organization for review.)
PTA Board Committees
These committees are active throughout the entire school year either planning or executing the committee goals and/or events. Months are listed for busier times of activity during the year. If no month is listed, work load is evenly distributed throughout the school year.
- Council Representative: The delegates to Henrico County Council of PTA’s shall attend council meetings, report activities of the council to the local unit and shall present to the council such matters as may be referred to it by the local unit. There are two delegates and one alternate. At least one County Council delegate is expected to attend Pinchbeck PTA Board meetings to report back on County Council meetings and at least one delegate is expected to be at County Council meetings. Delegates shall vote on all issues as instructed on adoption of projects or on matters of policy, but shall use their own discretion on other matters except as provided by council bylaws.
- MaryBeth Graff Scholarship: The Marybeth Graff Scholarship Chair chairs a committee responsible for distributing the scholarship. The Marybeth Graff Scholarship is a $500 scholarship awarded to applicants who best meet certain criteria. Any Henrico County Senior, who plans to pursue a career in special education, is eligible. The committee contacts all Henrico County PTAs by letter to solicit donations for the scholarship fund, creates and distributes all promotional information concerning the scholarship, and reviews and selects scholarship recipients(s) from Henrico County high schools. The chair of the committee presents the scholarship to recipient(s) at the recipient’s high school senior awards assembly. The Chair is responsible for engraving the scholarship plaque.
- Membership Co-Chair & Committee Members: Heavy load August/September, then maintain/remind throughout the year to achieve goals. The Membership committee is responsible for conducting a membership drive and additional recruiting throughout the year. The committee must complete and maintain a current membership roster, copies of which are given to the president and the Recording Secretary. The chair works closely with the President and Treasurer in remitting the state and national dues by December 1st, March 1st, and June 30th of each year.
- Yearbook Committee Chair & Members: The Yearbook Committee Chair chairs a committee responsible for creating and publishing Pinchbeck’s annual yearbook. The Chair reviews and selects the publisher. The committee creates and distributes all material relating to the sale and distribution of the book and collects money, places orders, and distributes the books in the spring. The committee ensures all students have returned signed releases for yearbook photos. The yearbook may require editorial review and approval by the Principal and PTA President.
Board Standing Committees
These are events that take place on one occasion during the year. They are led by a Chair and Co-Chair but with the recruitment and support of many volunteers to make the event a success. Approximate month of event is listed, this may change depending on current events.
Art Night: April
The Art night committee will work together with the ART teacher and school staff proposing activities, communicating with school.
Students vs. Teacher Basketball game: Late March
The committee will work with the school staff to organize a basketball game between 5th grade students and teachers. Responsibilities include assisting with set up and clean up, and arranging for refreshments (to sell/benefit the PTA). This event is free for families.
STEAM Night: January
The science fair/stream night chair works together with the school stream committee and 4th grade teachers. This position is responsible for communication with students, organizing demonstrators for stream night as well as assisting with the science fair.
Winter Dance: Early December (could move to January/February).
The Winter Dance committee will work together with school staff proposing activities, communicating with school. Setting up and cleaning up, refreshments and activities are also their responsibility. This event is a gift to families from the PTA, it is not a fundraiser.
Talent Show Committee: February The committee facilitates student auditions and practices, and plans and organizes the talent show event. The committee also decorates the cafeteria, sells tickets and concessions, and cleans up after the show.
